File management of students, staff, and faculty members is not organized.

Fukuoka University has a vast campus and many buildings and facilities, including a university hospital, in the southwestern part of Fukuoka City. Currently, there are about 20,000 undergraduate and graduate students studying under 31 departments in 9 faculties and 34 majors in 10 graduate schools.

Until now, the university has provided an on-premises file management environment for students, staff, and faculty. There was an upper limit on capacity. On the other hand, staff file management is provided by a common file server for all departments or individual file servers for each department. File management for teachers was left to individuals.

However, on-premise file management was inconvenient and outdated. Regarding this point, Professor Masaru Okumura of the Information Technology Center's Research and Development Office, who is in charge of supporting the on-campus system, says, ``In recent years, we have been dealing with large files such as images and videos, so we want to increase the file capacity allotted to students. However, if it is for 20,000 people, it will cost a lot of money.In addition, when students take files home, they need to save them on USB memory etc. and take them out, but there is a risk of loss or theft. There is," he said, pointing out the issues at the time.

In addition, there was a problem that the file management method was different for students, staff, and faculty, and it was operated vertically. For example, when teachers and staff exchanged files, it was basically sent as an email attachment.

On the other hand, when students and teachers exchanged files, they often used other means such as USB memory. If this situation was left unchecked, everyone would start using storage services without permission, leading to shadow IT, and there was a risk that governance would become ineffective. Therefore, the Information Technology Center decided to introduce a file management environment that can be used commonly by students, staff, and faculty members in response to the cloud era.
